Privacy Notice

CCiW collect personal information of the campers, their parents, and our staff, in accordance with all relevant data protection laws such as the GDPR. Your main questions should be answered below:

For campers and parents

The type of personal information we collect is:

  • Personal identifiers, contacts and characteristics (name and contact details)
  • Dietary, medical and health information of campers.

This information is all provided to us by those booking. We use it to ensure we can contact campers and their parents, and ensure the well-being of campers. We do not pass on any data to third parties, except where necessary for these purposes (such as passing on medical information to medical professionals if needed).

For officers

The type of personal information we collect is:

  • Personal identifiers, contacts and characteristics (name and contact details)
  • Information to ensure the suitability of officers to come on camp, including:
    • Relevant qualifications
    • References
    • Criminal record checks. We do not store these after checking them.

Most of the information is received directly from those applying to be officers. References are taken from the supplied referees, and criminal record checks are obtained from government provided services.

Lawful bases

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

  • Your consent. You are able to remove your consent at any time. You can do this by contacting the webmaster.
  • We have a contractual obligation.
  • We have a legal obligation.
  • We have a legitimate interest.

How we store your personal information

Your information is stored securely, mostly on a database server located in a secure data centre in the UK.

Most camper related data is kept for 5 years, or longer if we have a legitimate need (for example for chasing payment). The primary purpose of keeping data more than one year is make it easier to book in subsequent years without filling all information in again.

Some camper related data, such as names of campers who attended camps, is kept indefinitely, in order to protect our legal rights and to be able to fully help law enforcement in the case of allegations of abuse or neglect on camp that may be made many years after camps run.

We also keep some details of officers applications indefinitely for the same reason.

We delete data that is no longer required according to our data retention policy using automated processes.

Cookies

The only cookies used on this website are those essential for logging in and accessing your data. We do not use any 3rd party cookies or 3rd party analytics services.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
